Position: Administrative Assistant
Location: Baton Rouge, LA
Status:  Full time position


 Role Responsibilities:

Clear Channel Baton Rouge has an opening for an Administrative Assistant. This position is a support role with responsibility for supporting the market’s staff in all daily functions including sales, promotions, marketing, programming, engineering and the business office.   The Administrative Assistant reports to the Market Manager and Market Controller.

Primary responsibilities include providing administrative support to Market Leaders.  Greet and assist visitors. Receive and direct all incoming communications and correspondence including email, mail, telephone calls, faxes etc. 

Inventory and order office supplies, oversee care and maintenance of office equipment, act as contact for building maintenance and security. Organize local functions and events. Distribute prize giveaways to winners. Log client payments when received; prepare payments for deposit; deposit check/money payment via RDS. Approve CIA Sales Orders in Radio Fusion.

Maintain and secure trade file and trade certificates, tickets, script, or any form of trade items received.  Ensure required trade usage forms have been signed, submitted, and properly filed to support trade usage. Submit revenue adjustment via User Interface in One Space; Scan and email vendor invoices to Corporate accounts payable department for processing

Maintain Public and EEO Files, post job openings, follow up with applicants, schedule Interviews and maintain all related logs and paperwork. Oversee onboarding details for new employees, ensure New Hire packets are completed and forwarded to payroll for processing, complete the E-Verify I-9 process, complete and submit PAFs and annual Payola affidavits and

process all intern paperwork and Other Duties as assigned.

REQUIRED QUALIFICATIONS:

  • Ability to be flexible and perform multiple functions. An Undergraduate degree required.
  • Ability to operate a switchboard.
  • Excellent communication skills, verbal and written, effective listener.
  • Advanced data entry skills including MS Office (e.g., Word, Excel and PowerPoint)
  • Must be able to work independently and with limited supervision on day to day tasks.
  • Demonstrated ability to collaborate and create a positive work environment.

Account Executive

Essential Duties:

  • Prospect, market, sell and service advertising air time and digital products, including iHeartRadio
  • Negotiate business based on industry ratings in order to maximize station revenue and share within parameters set by station management.
  • Achieve revenue and share goals set by Sales Manager.
  • Develop new advertisers by soliciting area businesses.
  • Service clients to maintain positive working relationships.
  • Prepare sales orders and production requests in timely manner.
  • Resolve billing discrepancies and assist in collections of past due accounts.
  • Provide regular reports to Sales Manager regarding prospective sales orders, daily call sheets, itineraries, new prospect lists, forecasts, and competition analysis.
  • Monitor competitive media to continually prospect for new account leads.
  • Follow station and company practices and policies for processing, invoicing and calculation of sales.
  • Adhere to minimum standards of performance as established by Sales Manager.
  • Develop account list from various sources.
  • Conceive and execute written proposals.

Required Skills/Education & Certification:

  • College education preferred.
  • Background in related media sales with a minimum of two years’ experience preferred.
  • Outstanding marketing/presentation skills.
  • Strong organizational skills.
  • Computer literate.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills.
